Inviting team members and assigning roles

Inviting people, the five roles and what they can do, revoking access, and what to watch in team work.

Short answer

On the Team page you invite colleagues by email and give them a role: who can edit, who can approve, who can publish, and who can manage settings. An invited person does not create a new organisation — they get access to your existing brands with the role you assigned. The number of users depends on your plan: Free 2, Starter 3, Growth 8, Scale 20.

Inviting

  1. Open the Team page

From the left-hand menu, near the account settings.

  2. Give the email address and the role

You set the role when inviting, and it can be changed later.

  3. They sign in through the link in the email

No new organisation is created: they get access to the same brand. An email notification is sent about the invitation.

  4. Check the access

After they sign in, the Team page shows who is active and with what role.

The Team page. Under the title: “Who works on this brand, and what they can do. Every brand has its own team.”, with an Add member button on the right. The Members card states how many seats of the brand's allowance are taken, and lists the members with name, email address and role tag. Below it the “What each role can do” block with five cards: Owner, Admin, Editor, Approver and Viewer, each with a sentence or two of description.
The Team page explains the five roles on the page itself, so you do not have to guess which one allows what while inviting somebody. The screenshots show the Hungarian interface; the app's language is a setting, and it can be switched to English.

The five roles

Strongest first. A role applies to the brand, not to the whole account.
RoleWhat they can do
OwnerFull access, including billing, the subscription and data requests. Only an owner can appoint or remove an owner.
AdminDay-to-day running of the brand: team management, content, approval, publishing and integrations — without billing or ownership.
EditorProduces and edits content, plans the calendar, publishes, runs research and sets up integrations.
ApproverReviews and approves the brand brief and content. Can see the analytics.
ViewerRead only: can see the brand's content and analytics.

Teams and several brands

If you manage several brands you can control access per brand — not every team member has to see every brand. In agency work that is fundamental: an editor working on one client does not need another client's material.

What happens when I reach the user limit?

No further invitations can be sent until you free a seat or move to a larger plan. The limits: Free 2, Starter 3, Growth 8, Scale 20.

Can a team member see the billing data?

Only if their role allows it. Billing is worth keeping to a narrow circle.

What happens to content produced by a team member if I revoke their access?

The content and the version history remain — they belong to the brand, not to the user. Authorship stays visible in the version history.

Do team members get notifications?

Yes, notifications are configurable. See Notifications.
